Security Best Practices

Password Requirements:

  • Include numbers or special characters
  • Don’t share your password with anyone

Keep your account secure:

  • ✅ Use a unique password (not used elsewhere)
  • ✅ Log out when done on shared computers
  • ✅ Don’t save passwords on public devices
  • ✅ Change your password if you suspect it’s compromised
  • ✅ Contact HR if you see suspicious activity

Method 2: QR Code Device Pairing

Overview

Securely pair display devices without entering passwords. Perfect for permanent kiosk installations that run 24/7.

How it works:

  1. Display generates a unique QR code
  2. You scan it with your phone
  3. Verify your email with a code
  4. Name the device
  5. Display stays logged in indefinitely!

Best for:

  • Lobby displays
  • Break room TVs
  • Hallway monitors
  • Any permanent installation

Why Use QR Pairing?

Advantages over email/password:

  • Stays logged in 24/7 - No re-login needed
  • More secure - No passwords stored on display
  • Easy management - Track all devices from dashboard
  • Simple setup - One-time process
  • Professional - Made for permanent installations

Complete Setup Guide

For detailed step-by-step instructions, see:

Kiosk Setup Guide →

The kiosk setup guide includes:

  • Detailed QR pairing process
  • Device naming best practices
  • Troubleshooting pairing issues
  • Security information

Quick Overview

The pairing process:

  1. Display generates unique QR code
  2. You scan with phone camera
  3. Email verification code sent
  4. Verify with 6-digit code
  5. Name the device (e.g., “Lobby Display”)
  6. Done! Display automatically logs in and stays logged in

Time required: 3-5 minutes

Security Note: Each pairing code is uniquely generated and tied to your organization through email verification. Codes expire after 15 minutes and can only be used once, ensuring secure device authentication.

Method 3: Email Verification (OTP)

Overview

For mobile participation via QR codes on displays. Uses one-time passwords (OTP) sent to your email for quick, secure verification.

Used when:

  • Scanning QR codes to comment
  • Liking recognitions via mobile
  • Submitting nominations from your phone

Not a separate login— This happens automatically when you scan QR codes on displays!

How It Works

Step-by-step flow:

  1. Scan QR code on a recognition display
  2. Enter your email on the mobile page
  3. Receive a 6-digit code via email
  4. Enter the code on your phone
  5. Verified! Now you can comment, like, or nominate

Time required: 30-60 seconds

Email Verification Details

Why we use it:

  • ✅ Confirms you’re an employee
  • ✅ No password to remember
  • ✅ Works from any phone
  • ✅ Secure and time-limited
  • ✅ Prevents unauthorized participation

Code characteristics:

  • 6 digits (e.g., 123456)
  • Expires in 10 minutes
  • One-time use only
  • New code each time you scan

Troubleshooting OTP

Didn’t receive the email?

  1. Check spam/junk folder
  2. Wait 1-2 minutes - some email systems are slow
  3. Verify email address - make sure it’s correct
  4. Click “Resend Code” if available
  5. Contact HR if still not receiving

Code expired?

  • Simply request a new one!
  • Codes expire after 10 minutes for security
  • No limit on how many codes you can request

Wrong code error?

  • Double-check you entered all 6 digits correctly
  • Make sure you’re using the most recent code
  • Codes are case-sensitive (though usually just numbers)
  • Try requesting a fresh code

Method 4: Token Authentication (Advanced)

Overview

For specialized integrations like SharePoint widgets or custom implementations. Tokens are provided by your account executive for an additional fee.

Who needs this:

  • Organizations using SharePoint widget
  • Custom integrations
  • Embedded displays in other applications
  • Special deployment scenarios

Note: Most users will never need token authentication. This is an advanced, opt-in feature.

How to Get a Token

Tokens are not available by default. To access token authentication:

  1. Contact your account executive, account manager, or sales representative
  2. Request token-based authentication
  3. Discuss your use case (SharePoint, custom integration, etc.)
  4. Pricing and setup will be provided
  5. Receive your authentication token once approved

Additional charges apply for token authentication.

Using a Token

Once you have a token:

  1. Navigate to the login page
  2. Select “Access Token” or “Token Authentication” option
  3. Enter your provided token
  4. Sign in
  5. Your display or integration authenticates

Token security:

  • Store tokens securely
  • Don’t share tokens publicly
  • Treat them like passwords
  • Contact your account manager if compromised
  • Tokens can be revoked if needed
